Privacy policy
What we collect when you apply to the retreat or create an account, why we hold it, and what you can ask us to do with it.

Who we are
Imprint Production is a music production studio in Atlanta, Georgia, United States. The retreat described on this site is run by Vasyl and Anna Chekhovskyy. We are responsible for the personal data collected through this website.

What we collect
When you apply to the retreat
The application form asks for the following, and stores exactly what you type into it:
- Your name and email address, which are required — without them we cannot reply to you.
- A phone number, if you give one.
- Your year of birth, marital status, number of children and city of residence.
- Your church, your position there, and how long you have served in each.
- The instruments you play, your musical interests, and links to your social media if you provide them.
- The skills you want to work on, what inspires you, and who is coming with you.
You choose how much of the optional detail to give. Leaving a field blank does not affect whether we read your application.
When you create an account
We store your name, your email address and a hashed version of your password. We never store the password itself and cannot recover it.
Automatically
Our server keeps ordinary technical logs — IP address, request time and page requested — for security and diagnostics.
Three cookies, none of them for advertising:
- One keeps you signed in, and only exists once you have an account and have logged in.
- One remembers which language you chose, so returning to the front page opens it in that language. It lasts a year.
- One records your answer to the cookie banner, so we do not ask again on every page. It lasts six months and holds nothing but yes or no.
You can delete any of them in your browser at any time.
If you accept the banner, we load Google Analytics, which sets its own cookies and tells us which pages are read and roughly where readers are — never who they are. Decline and it is never loaded at all; that is what the banner is for, and the answer is remembered. We do not run advertising scripts of any kind.
Two other things run that are not ours. Cloudflare rewrites the email address in the footer so address-harvesting robots cannot read it. The application form is protected by Google reCAPTCHA, which watches how the form is filled in to tell a person from a robot; it is subject to Google's privacy policy and terms. And if you press play on one of the films, the player is loaded from YouTube — nothing is loaded from YouTube until you press play, and at that point YouTube receives your IP address and may set its own cookies, under its own policy rather than this one.
Why we hold it
- To read your application, decide on a place, and reply to you about it.
- To let you sign in to your account.
- To keep the site working and secure.
We do not sell personal data, and we do not use it to send marketing you have not asked for.
Who else sees it
Applications and accounts are held in our own database on a server we rent in Germany from Hetzner Online GmbH. Traffic to this site passes through Cloudflare, Inc., which provides the network in front of it. The email confirming that your application arrived is sent through Resend, Inc., which sees your name and email address in order to deliver it.
If we have switched on Telegram notifications, a summary of each new application — name, email, phone, city and church — is also delivered to a private Telegram group used by the people running the retreat. Telegram Messenger Inc. processes that message in transit.
Beyond those, nobody else receives your data. We do not sell it and we do not share it with advertisers, data brokers or partner organisations.
How long we keep it
Applications are kept while we are considering them and for as long as we are running the retreat programme they relate to. Accounts are kept until you ask us to delete them. Ask us to remove either at any time and we will.
Your rights
You can ask us to:
- Send you a copy of what we hold about you.
- Correct anything that is wrong.
- Delete your application, your account, or both.
Write to [email protected] and we will act on it. If you are in the United Kingdom or the European Economic Area, you also have the right to complain to your local data protection authority.
Children
This site is intended for adults applying to a professional programme. We do not knowingly collect data from anyone under 16.
Which law applies
We are in the United States and the retreat takes place in Georgia. The server holding your data is in Germany, and we offer the rights described above to everyone who writes to us, wherever they are, rather than only to those who can insist on them.
Changes
If we change how we handle personal data, we will update this page and the date shown at the top of it.
