What we collect when you apply to the retreat, pay for a place or create an account, why we hold it, and what you can ask us to do with it.

Who we are
Imprint Production is a music production studio in Atlanta, Georgia, United States. The retreat described on this site is run by Vasyl and Anna Chekhovskyy. We are responsible for the personal data collected through this website.
Reach us about anything on this page at [email protected].
What we collect
When you apply to the retreat
The application form asks for the following, and stores exactly what you type into it:
- Your name and email address, which are required — without them we cannot reply to you.
- A phone number, if you give one.
- Your year of birth, marital status, number of children and city of residence.
- Your church, your position there, and how long you have served in each.
- The instruments you play, your musical interests, and links to your social media if you provide them.
- The skills you want to work on, what inspires you, and who is coming with you.
You choose how much of the optional detail to give. Leaving a field blank does not affect whether we read your application. If you pay for a place, we also record whether the payment went through or was later refunded, the amount, and Stripe's reference for it. Alongside your answers we keep a few records of our own: where your application stands (for example, whether we have accepted it), which language you filled the form in, when we sent you a payment reminder, and any notes we make while reading your application.
When you create an account
We store your name, your email address and a hashed version of your password. We never store the password itself and cannot recover it.
Automatically
Our server keeps ordinary technical logs — IP address, request time and page requested — for security and diagnostics.
Three cookies, none of them for advertising:
- One keeps you signed in, and only exists once you have an account and have logged in.
- One remembers which language you chose, so returning to the front page opens it in that language. It lasts a year.
- One records your answer to the cookie banner, so we do not ask again on every page. It lasts six months and holds nothing but yes or no.
You can delete any of them in your browser at any time.
If you accept the banner, we load Google Analytics, which sets its own cookies and tells us which pages are read and roughly where readers are — never who they are. Decline and it is never loaded at all; that is what the banner is for, and the answer is remembered. We do not run advertising scripts of any kind.
Some other things run here that are not ours. Cloudflare rewrites the email addresses shown on this site so address-harvesting robots cannot read them. The application form is protected by Google reCAPTCHA, which is loaded only when you open the form and watches how it is filled in to tell a person from a robot; it is subject to Google's privacy policy and terms. If our checks decide that an application was sent by a robot, it is not saved — so if you have applied and our confirmation email has not arrived, write to us. If you press play on one of the films, the player is loaded from YouTube — nothing is loaded from YouTube until you press play, and at that point YouTube receives your IP address and may set its own cookies, under its own policy rather than this one. And Stripe's card form is loaded from Stripe only when you reach the payment step; from then on, Stripe may set cookies of its own on this site to prevent fraud. If you pay through the link we email you, you pay on Stripe's own page instead, under its privacy policy.
Browsers can send a Do Not Track signal. There is no agreed standard for what it means, so this site does not change what it does when it receives one; whether Google Analytics runs is decided by your answer to the cookie banner. Google (through Analytics, reCAPTCHA and YouTube) and Stripe may collect information about your activity over time and across other websites, under their own policies.
Why we hold it
- To read your application, decide on a place, take payment for it, return that payment when our terms require it, and write to you about it.
- To let you sign in to your account.
- To keep the site working and secure.
We do not sell personal data, and we do not use it to send marketing you have not asked for.
If European data protection law applies to you, these are the legal grounds we rely on. Reading your application and writing to you about it, taking and refunding payment, and your account: you asked us to do these things, and we cannot do them without your data. Server logs, Cloudflare and reCAPTCHA: our legitimate interest in a site that works, stays secure and is not flooded by robots. Keeping the record of a payment: our legitimate interest in meeting the tax and accounting rules that apply to us. Google Analytics, and your answers about your church, which can say something about your faith: your consent. The church questions are optional, and you can withdraw your consent at any time — for analytics, by deleting our cookie-banner cookie in your browser so the banner asks again; for your church answers, by asking us to delete them.
Who else sees it
Applications and accounts are held in our own database on a server we rent in Germany from Hetzner Online GmbH. Traffic to this site passes through Cloudflare, Inc., which provides the network in front of it. Our emails go through Resend, Inc.: the confirmation that your application arrived, the emails about payment, and the copy of each application sent to the people running the retreat. Resend sees what those emails contain — for that copy, your whole application — in order to deliver them. That copy, and anything you write to us by email, is kept in our mailbox, which is provided by Google LLC (Gmail). Payments and refunds are processed by Stripe, Inc.: your name, email address and card details go to Stripe, which handles them under its own privacy policy. In our own database we keep only whether the payment went through or was refunded, the amount, and Stripe's reference for it — never your card number.
If we have switched on Telegram notifications, a summary of each new application is also delivered to a private Telegram group used by the people running the retreat: your name, email, phone, city and year of birth; your church, your position there and how long you have served in each; the instruments you play and the skills you want to work on; who is coming with you; and whether you have paid. Telegram Messenger Inc. delivers that message and, as with any message in a Telegram group, keeps it on its servers until it is deleted, under its own privacy policy.
Beyond those, nobody else receives your data. We do not sell it and we do not share it with advertisers, data brokers or partner organisations.
Not all of your data stays in Germany. We are in the United States and read applications there, and Stripe, Resend, Cloudflare and Google are US companies that may process your data in the US. All four take part in the EU-US Data Privacy Framework and its UK Extension, which the European Commission and the UK government recognise as giving adequate protection to personal data sent to the companies that take part. Telegram Messenger Inc. is not part of that framework; the group summary is held under Telegram's own policy.
How long we keep it
Applications are kept while we are considering them and for as long as we are running the retreat programme they relate to. Accounts are kept until you ask us to delete them. Ask us to remove either at any time and we will, with one exception: if you have paid, the record of that payment and of any refund — your name, email address, the amount, the date and Stripe's reference — stays in our Stripe account, because tax and accounting rules require us to keep it. Stripe also keeps its own record under its own policy, and deleting your application here removes neither. When we delete an application, we also delete its copy in our mailbox and its summary in our Telegram group.
Your rights
You can ask us to:
- Send you a copy of what we hold about you.
- Correct anything that is wrong.
- Delete your application, your account, or both.
- Stop or limit how we use your data, if you object to it.
- Send you what you gave us in a file you can take elsewhere.
Write to [email protected] and we will act on it. If you are in the United Kingdom or the European Economic Area, you also have the right to complain to your local data protection authority.
Children
This site is intended for adults applying to a professional programme. We do not knowingly collect data from anyone under 16.
Which law applies
We are in the United States and the retreat takes place in Georgia. The server holding your data is in Germany, and we offer the rights described above to everyone who writes to us, wherever they are, rather than only to those who can insist on them.
Changes
The date at the top of this page is the date this version took effect. If we change how we handle personal data, we will update this page and that date.
